Server Type: Select POP3 or IMAP depending on your mail provider’s protocol support.
Server Name: The hostname or IP address of the mail server (e.g., mail.example.com).
Port Number:
POP3: 110 (standard) or 995 (SSL/TLS)
IMAP: 143 (standard) or 993 (SSL/TLS)
Authentication:
Standard — Username and password authentication
OAuth2 Microsoft — Modern authentication for Microsoft 365 and Outlook.com accounts
OAuth2 Google — Modern authentication for Google Workspace and Gmail accounts
Username: The login name for the mail account.
Password: The password for standard authentication. Not used when OAuth2 is selected.
OAuth Status: Displays the current OAuth2 authorization state when OAuth2 authentication is selected.
Encryption:
TLS — Transport Layer Security (implicit, connects on the SSL port)
SSL — Secure Sockets Layer (legacy, connects on the SSL port)
SPA — Secure Password Authentication
STLS — StartTLS (upgrades a plain connection to encrypted)
Timeout: Maximum time in seconds to wait for a server response. Default is 180 seconds.
Max Emails Per Pass: Maximum number of emails downloaded in a single polling cycle. Default is 200.
Test Access: Click this button to verify the server connection, authentication, and mailbox access.
Type of Account / Distribution
Single User: All emails from this account are delivered to a single Exchange mailbox.
Catch-All: Emails are distributed to multiple Exchange mailboxes based on recipient address analysis.
Reroute Unknown: When using catch-all distribution, emails with unrecognized recipient addresses are rerouted to a specified default mailbox instead of being rejected.
Delete / Keep Email Options
Delete emails after download: Removes messages from the remote server once they have been successfully delivered to Exchange.
Keep emails on server: Leaves messages on the remote server after downloading. POPcon tracks which messages have already been processed to avoid duplicates.
Schedule
Download every N minutes: Sets the polling interval for this account. Minimum interval is 1 minute; a value of 0 enables continuous downloading.
Deactivated: Disables automatic downloading for this account. The account can still be triggered manually.
Limit to work hours: Restricts automatic downloads to configured work hours only, reducing off-hours server connections.
